Automated contract management

The agreement went out
on Tuesday. It’s Friday.
Nobody knows where it is.

Not whether it was signed: where it is. Whether it reached them, whether they opened it, and whether it’s sitting behind a signature that has to happen before the next one can. That is the part automation actually fixes.

Scope

What this is, and what it deliberately isn’t.

The honest version, because the search term promises more than the product does.

What actually gets automated

Four manual jobs, done for you. Not a fifth system to keep updated.

Automation in this category usually means a workflow builder you have to configure and a repository you have to populate. This is the other kind: the jobs that were already happening, happening on their own.

Someone was chasing. Someone was re-typing the same details. Someone was going to notice the renewal, probably late. Those are the jobs.

What it automates

Send. Order. Chase. Renew.

  • Sending, from the PDF you already use

Drop in the document you already send. Signatures and dates seat themselves on the printed lines. Type who it goes to in a sentence and the form fills itself. A person always clicks send.

  • Ordering and chasing

Signers go in order. Reminders name exactly what is left. Stuck documents are listed with the reason they’re holding, so nothing goes quiet without you knowing why.

  • Renewals, read from the document

Flagged 30 days out from the document’s own dates. One click refills the template and sends it again, with the details already in place.

What buyers actually complain about

The most repeated complaint in this category is a renewal nobody saw coming.

Not signing. Not price. The renewal. It is the single most repeated complaint in the entire sentiment dataset, and YDO already ships the mechanism that answers it.

  1. The problem, in their words

“No notification for auto renewal. No refund policy.”

    2-star review of a major e-signature vendor, Trustpilot, 15 June 2026.

    How YDO resolves it

YDOflags renewals 30 days out, read from the document’s own dates. One click refills the template.

  2. The problem, in their words

“My renewal hit on June 7, 2026. I did not see a notice.”

2-star review, same vendor, Trustpilot, 6 June 2026. Four unrelated products carry this complaint, all 2026.

    How YDO resolves it

YDOputs sent, opened and signed on one screen, with every stuck document listed and the reason it is holding. Nothing goes quiet, including the renewal.

  3. The problem, in their words

“They now require an additional USD 2 for every document I generate automatically.”

Review of a proposal-and-signing platform, Trustpilot, 10 July 2026. Plans re-tiered under existing customers is a named weakness across four products.

    How YDO resolves it

    YDOpublishes its prices.

  4. The problem, in their words

“I wrote to the support, 7 DAYS LATER, still no news.”

Trustpilot, 7 August 2026. Support that cannot be reached is criticised in six of the ten brands reviewed.

For your team

The chasing stops being a person’s job.

  • Details come back on their own. Send to someone again and their details return, highlighted for checking.

  • Sent, opened and signed on one screen, with every stuck document listed and the reason.

  • Renewals flagged 30 days out, read from the document’s own dates.

For the signer

No account. No app. No friction.

  • One link, opened on the phone in their hand, signed with a finger.

  • A closed tab costs nothing: ticks save as they go and the link reopens filled in.

  • Consent that can’t be skipped. Yes/No pairs become required questions, so the answer is on the record.

Before you go further

Worth knowing now rather than later.

When you should buy CLM instead

If you negotiate contracts (redlines going back and forth, clauses argued over, a legal team that needs version history), buy a contract lifecycle platform. We would be the wrong purchase and you would find out in month three. This is for businesses that send largely standard agreements and need them back, signed, without anyone chasing.

Why it holds up

A wrong email dies instantly.

  • Nothing comes back half-signed

The sealed certificate records each signature with time and place, stamped to the Sydney second.

  • A wrong address is fixable

Correct it and the old link stops working that moment. Not at the next sync.

  • Staff see only their own

Senders see their own documents. Contractors can’t wander through HR letters.

Questions we get asked

Straight answers.

Is this contract lifecycle management?

No, and we would rather say so here than let you find out later. It automates sending, ordering, chasing, sealing and renewals. It does not draft, redline or store a contract library.

Does it integrate with our CRM?

Not out of the box. A CRM integration is built as a YDO Custom project, scoped to the system you use. YDO Custom

How does the renewal flag work?

It reads the dates in the document itself and flags 30 days out. One click refills the template.

Are electronic signatures legal in Australia?

Electronic signatures are recognised under the Electronic Transactions Act framework, with conditions, and some document types are excluded. We describe what the certificate records; whether your specific agreement is enforceable is a question for your own advisers.

Who owns the signed documents?

You do. They are yours and they leave with you.
